Privacy Policy

PilotX (“PilotX,” “we,” “us,” or “our”) provides an autonomous software quality engineering platform. This Privacy Policy explains what information we collect, how we use and share it, and the choices you have, when you use pilotx.com and the PilotX application (together, the “Service”).
Information we collect
We collect the following categories of information:
- Account and profile data — name, work email address, organization/workspace name, and authentication credentials (or OAuth identity, if you sign in via Google or GitHub) when you create an account.
- Usage and telemetry data — pages visited, features used, test-run and pipeline activity, browser/device information, and IP address, collected to operate, secure, and improve the Service.
- Payment data — subscription and billing information. Card and payment details are collected and processed directly by our payment processor, Cashfree Payments; PilotX does not store full card numbers on its own servers.
- Cookies and similar technologies — used to keep you signed in, remember preferences, and understand aggregate product usage. See “Cookies” below.
How we use information
We use the information above to:
- Provide, operate, and maintain the Service, including running your test pipelines;
- Process subscription payments and send billing-related communications;
- Authenticate you and secure your account and workspace;
- Respond to support requests and communicate service-related notices;
- Monitor, debug, and improve product performance and reliability;
- Comply with legal obligations and enforce our Terms of Service.
How we share information
We do not sell your personal information. We share information only with:
- Cashfree Payments, our payment processor, to process subscription charges and refunds;
- Subprocessors that provide infrastructure we rely on to run the Service (for example, cloud hosting, error monitoring, and email delivery), each bound by contractual confidentiality and data-protection obligations;
- Third parties you explicitly connect (for example, Jira, Slack, or a CI/CD provider), and only to the extent needed for that integration to function;
- Authorities, where required by law, or to protect the rights, safety, and property of PilotX or our users.
Data retention
We retain account and workspace data for as long as your account is active, and for a reasonable period afterward to comply with legal, tax, and accounting obligations and to resolve disputes. Test-run artifacts and logs are retained according to your workspace’s plan-level retention settings. You may request deletion of your account data at any time (see “Your rights” below).
Your rights
Depending on your location, you may have the right to access, correct, export, or delete the personal information we hold about you, and to object to or restrict certain processing. To exercise any of these rights, contact us using the details on our Contact page.
Security
We use industry-standard technical and organizational measures — including encryption in transit, access controls, and least-privilege practices — to protect information from unauthorized access, disclosure, alteration, or destruction. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Cookies
We use strictly necessary cookies to keep you signed in and to remember basic preferences. We do not use third-party advertising cookies.
Children’s privacy
The Service is intended for business use by professional software teams and is not directed at, nor knowingly collects information from, individuals under the age of 16.
Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we will update the “Last updated” date above and, where appropriate, notify account holders by email or an in-product notice.
