Refund & Cancellation Policy

This policy explains how to cancel your PilotX subscription and when a refund is available. It supplements the subscription and payment terms in our Terms of Service, which govern billing cadence and plan changes.

Subscription cancellation

You can cancel your subscription at any time, self-serve, from Workspace Settings → Billing. Cancellation takes effect at the end of your current billing period — you retain full access to the Service through the remainder of the period you already paid for, and your plan will not renew afterward. After the billing period ends, your workspace moves to a read-only, limited free tier; test-run history and configuration are retained for 30 days in case you resubscribe, after which they may be permanently deleted.

Refund eligibility

Our refund policy is deliberately narrow and stated plainly below:

  • First-time subscription charges are eligible for a full refund if requested within 7 days of the initial charge.
  • Renewal charges (your subscription auto-renewing for a subsequent billing period) are not eligible for a refund, except in the case of a billing error (see below) — cancel before your renewal date to avoid being charged for the next period.
  • Plan upgrades mid-cycle are billed pro-rata for the remainder of the current period and are not separately refundable; downgrades take effect at the next renewal and are not refunded for the difference.
  • Free-trial-to-paid conversions: if you are charged after a free trial converts and you did not intend to continue, contact us within 7 days of that charge and it will be refunded in full.
  • Billing errors (for example, a duplicate charge or an incorrect amount) are refunded in full regardless of the windows above, once verified.

Refund method & timeline

Approved refunds are issued to the original payment method via Cashfree Payments. Refunds typically appear within 5–7 business days, though your bank or card issuer may take longer to post the credit.

How to request a refund

Email billing@trypilotx.com with your workspace name and the charge date. We aim to respond within 2 business days. You can also reach us via our Contact page.

Failed or disputed payments

If a renewal charge fails (for example, an expired card), we will retry the charge and notify you by email; your subscription may be paused if payment is not resolved within a reasonable grace period. If you initiate a chargeback with your bank instead of contacting us first, your workspace access will be suspended while the dispute is investigated with Cashfree Payments.
